Once you no longer require access to a shared mailbox, it is wise to remove it from your Outlook account.

How do I remove a shared mailbox

On a Windows computer

To remove a delegate account:

  1. Click on File in the top left.
  2. Click Account settings, then select Account settings again from the newly opened drop-down menu.
  3. In the Account Settings window, select your email account and click Change.
  4. In the Change Account windows, click on the More Settings button in the lower right.
  5. In the Microsoft Exchange window, click on the Advanced tab.
  6. Select the shared email address and click on the Remove button.
  7. Click OK.
  8. Once back in the Change Account window, click Next.
  9. Click Finish.

To remove a direct login account:

  1. Click on File in the top left.
  2. Click Account settings, then select Account settings again from the newly opened drop-down menu.
  3. In the Account Settings window, select the shared email you want to remove.
  4. Click the Remove button, then click Yes.

On a macOS computer

To remove a delegate account:

  1. Click on Outlook in the menu bar, then select Preferences.
  2. Click Account in the Preferences menu.
  3. Click on your account on the left-hand side, then click the Advanced button in the lower-right corner.
  4. Select the shared account in the Open these additional mailboxes section and click the minus button at the bottom of the section to remove the mailbox.
  5. Click OK to apply the changes.

To remove a direct login account:

  1. Click on Outlook in the menu bar, then select Preferences.
  2. Click Account in the Preferences menu.
  3. Locate the shared account on the left-hand side and click on it to select it.
  4. Click the minus button at the bottom of the list of accounts to remove the selected account from the list.

Removing access to a shared mailbox

If you need to remove someone's access to a shared mailbox (e.g. staff who have moved departments or left the University of Otago),

  1. Open the Shared Mailbox/Device Account Request Form.
  2. Select the Modify radio button as the Request Type to see the option to enter the shared email address and the users you wish to remove from it. 
  3. Fill in any other relevant details.
