When you finish studying at the University of Otago, your access to University services also finishes. These are the steps you might need to take before your access is disabled:

Step 1: Set up an out-of-office message on your StudentMail

Before leaving the University, you should set up an Out-of-Office message (auto-reply) in your StudentMail to notify which email address people should now use to contact you. You should do this even if you are currently forwarding your email as any forwarding rules will be removed. See the related article for a guide to setting up an Out-of-Office message:

Step 2: Export/forward email you wish to keep

When you leave the University, your StudentMail account will be disabled and you will no longer have access to your emails. Before that happens, you should export or forward any emails and attachments you wish to keep. See the related article for options on exporting and forwarding your emails:

Step 3: Download your files from OneDrive

If you have files saved in your University of Otago OneDrive or in Microsoft Teams, you will lose access to these when your StudentMail is disabled. You should download any files you wish to keep and store them on your home computer or external hard drive. Step 4: Get your own copy of Microsoft 365

If you downloaded Microsoft 365 for your computer through the University, your subscription ends when your StudentMail is disabled. If you want to keep using Microsoft 365 you will need to buy a personal copy from Microsoft.

Step 5: Remove your student email address from any external services or accounts

If you signed up for any external services or accounts using your student email address, or your student email address is used as a password recovery address, you should change this prior to the removal of access to ensure you can continue using these services.
